Job Card Cancellation Process Before Invoiced 


Overview

Job Card cancellation is generally required when:

  • The Job Card was created by mistake.
  • The customer does not want the repair to continue.
  • A duplicate Job Card was created.
  • The vehicle was not serviced.
  • The Job Card is no longer required.

However, cancellation is only allowed if certain conditions are fulfilled.


Important Conditions Before Cancellation

Before cancelling a Job Card, verify the following:

Job Card Status should be Open

No service activity should be in a completed stage

All issued parts must be returned

No invoice should be generated

No billing should be completed

If any of the above conditions are not fulfilled, the system will not allow cancellation.


Why Can't Some Job Cards Be Cancelled?

The system protects completed or billed transactions from being cancelled.

A Job Card cannot be cancelled if:

Invoice Generated or Billing Completed or Issued Parts Not Returned or

Services Already Completed


Resolution Steps

Step 1: Open the Job Card

Open the Job Card that needs to be cancelled.

Verify the document number and vehicle details before proceeding.


Step 2: Check the Service Status

Navigate to:

Service Details tab.

Verify the status of all services.

Incorrect Status

If any service shows:

Completed

change the status back to:

Started

The Job Card should not remain in a completed state during cancellation.


Step 3: Check the Part Details

Navigate to:

Part Details tab.

Verify whether parts have been issued against the Job Card.

Check:

Qty Issued

Qty Returned


Step 4: Return All Issued Parts

If parts are issued, they must be returned before cancellation.

Example

Qty Issued = 1

Qty Returned = 0

Result:

Cancellation Not Allowed

The system may display:

You cannot cancel document since all 'Parts' are not returned.

Qty Issued = 1

Qty Returned = 1

Result:

Cancellation Allowed


Step 5: Verify Billing Status

Check whether:

Invoice Generated or Billing Completed

exists against the Job Card.

If billing has already been completed, the Job Card cannot be cancelled.


Step 6: Click Cancel

Once all conditions are fulfilled:

  • Service Status = Open/Started
  • All Parts Returned
  • No Invoice Generated

Click: Cancel

Show more lines

from the toolbar.



Step 7: Confirm Cancellation

The system will process the request and cancel the Job Card successfully.
