Validation Message



While proceeding with billing, the system may display the following message:

As the job card has been edited, please recall the FIR and resubmit it

This validation prevents billing until the related FIR has been reviewed and resubmitted.


Why Does This Validation Appear?

An FIR is created based on the information available in the Job Card.

If the Job Card is modified after the FIR has already been submitted, a mismatch may occur between:

  • Complaint Details
  • Labour Details
  • Parts Details
  • Repair Information
  • Claim Amounts
  • Service Information

To ensure accurate claim and failure investigation data, the system requires the FIR to be recalled and resubmitted before billing can proceed.


Common Situations That Trigger This Validation

The validation may appear when changes are made to the Job Card after FIR submission, such as:

  • Adding or removing labour.
  • Adding or removing parts.
  • Modifying complaint details.
  • Updating repair details.
  • Changing claim-related information.
  • Editing any information linked to the FIR.


Example Scenario

Step 1

FIR is submitted successfully.

FIR Status = Approved / Pending Approval

Step 2

Job Card is edited.

For example:

New Labour Added

or

Part Details Updated

Step 3

User tries to proceed with billing.

Result

As the job card has been edited, please recall the FIR and resubmit it

Billing cannot proceed until the FIR is resubmitted.


Resolution Steps

Step 1: Open the Related FIR

Open the Failure Investigation Report associated with the Job Card.

Verify that the FIR is available and linked to the same repair record.


Step 2: Click Recall

Locate and click:

Recall button.

This action will bring the FIR back into an editable state.


Step 3: Refresh the FIR

After recalling the FIR:

Click: Refresh

This will load the latest data from the edited Job Card.


Step 4: Review the FIR Details

Check whether the Job Card changes impact any information in the FIR.

Review items such as:

  • Complaint Information
  • Customer Voice
  • Labour Details
  • Parts Information
  • Claim Amounts
  • Failure Details


Step 5: Update the FIR (Only If Required)

If Job Card Changes Affect FIR Data

Update the FIR accordingly.

Examples:

New Part Added

Update relevant FIR details if required.

or

Labour Modified

Update the FIR if the change impacts the investigation report.

After making changes:

✅ Save the FIR


If No FIR Changes Are Required

Sometimes the Job Card is edited, but those changes do not affect the FIR.

In such cases:

✅ No modification is required.

✅ Saving is not necessary.

Simply proceed to resubmission.


Step 6: Resubmit the FIR

Click: Submit For Approval

This will resubmit the FIR based on the latest Job Card information.


Step 7: Proceed with Billing

After the FIR is resubmitted successfully:

Return to the billing process and continue.

The validation message will no longer appear.

Troubleshooting Guide

Scenario 1: Job Card Was Edited After FIR Submission

Cause

The FIR contains older Job Card information.

Solution

Recall the FIR, refresh it, and resubmit it.


Scenario 2: No Changes Needed in FIR

Cause

The Job Card was edited, but those edits do not affect FIR details.

Solution

Recall the FIR and resubmit it directly.

No changes or save operation are required.


Scenario 3: FIR Was Updated After Recall

Cause

The edited Job Card impacts FIR information.

Solution

Update the required FIR fields, save the FIR, and then submit it for approval again.


Scenario 4: Billing Still Not Proceeding

Cause

The FIR has been recalled but not resubmitted.

Solution

Ensure that:

Recall

Refresh

Submit For Approval

has been completed successfully.
