SPARES REQUISITION
Spares Requisition is used to
formally request spare parts needed for vehicle records the Job
Card No., part details, and required quantity for each item Once approved,
requisitions are processed through the Spare Issue module When to Use When a
mechanic identifies parts needed during vehicle diagnosis When an open Job Card
requires spare parts for service completion Process Flow
Step 1: Open the Job
Card for the vehicle that needs spare parts
Step 2: Navigate to EV Spare
Requisition and select the Vehicle and Branch
Step 3: Select the Employee
(mechanic or technician requesting the parts
Step 4: Add required parts: select
Part No., enter QTY, set Priority and Requirement Date
Step 5: Save the
requisition — it is now ready for processing through Spare Issue

SPARES REQUISITION: KEY FIELDS & TIPS
Key Fields Explained
Vehicle: Select the
vehicle for which spare parts are being requested Branch: Select the dealership
branch creating the requisition
Employee: Select the mechanic or technician
requesting the parts
Part No / Part Name: Select the part number; the part name
auto-populates
UOM: Unit of Measurement — auto-displays based on the selected
part
Priority: Set urgency level (High / Medium / Low) for the spare
request
Requirement Date: Date by which the parts are needed for the service
QTY
/ Pending QTY: Enter the required quantity; pending QTY shows what is yet to be
issued
Tips for Beginners
:Always verify the Part Number before saving —
incorrect parts cause delays
Set the correct Priority so urgent parts are
processed first
A requisition must exist before Spare Issue can be performed
SPARE ISSUE —
OVERVIEW & PROCESS
Spare Issue is used to physically
issue parts from the spare department to the mechanic It processes the parts
requested in the Spares Requisition against the Job Card The parent document is
the Vehicle — on selection, all Job Card details auto-populate Users enter the
Issue Quantity to confirm how many parts are being handed over
How to Access:
Go
to Electric Vehicle → Service → Workshop → Spare Issue
Process Flow:
Step 1: Open
Job Card and enter required part quantities in the Part Details tab
Step 2: Navigate
to Spare Issue and select the Vehicle as the parent document
Step 3: Vehicle
Card details and Part list auto-populate from the Job Card
Step 4: Enter Issue
Quantity for each part and select the Issued By employee
Step 5: Save the
document — parts are now issued against the Job Card

Vehicle:
Select the vehicle for which spares need to be issued

where the spare issue is being performed
Issued By: Select the employee who is
issuing the parts
Vehicle Card: Displays Registration No., Chassis No., Engine
No., Model Name
Part Details (Grid Section): Part No / Part Name: Select part
number; part description auto-displays
HSN Code / UOM: Displays the HSN code and
Unit of Measurement for each partVIN / Location: Displays the Vehicle Identification
Number and part storage location
Mechanic: Displays the mechanic assigned to the
service work
QTY / Issue QTY: Shows requested quantity; enter the number of
parts to issue
Tips for Beginners:
Always verify Issue QTY matches the actual
parts being handed over to the mechanic Excess parts can be returned via Issue
Return — but only while the Job Card is still open Parts cannot be issued
without a valid open Job Card SPARE ISSUE CAN BE CREATED ONLY AFTER SPARE
REQUESTION
ISSUE RETURN —
OVERVIEW & PROCESS
Issue Return allows the mechanic to
return unused spare parts back to the spare department This ensures accurate
inventory tracking and prevents billing for parts not actually used The parent
document is the Spare Issue — on selection, all issued part details
auto-populate
When to Use: When a part was issued but not used during the service
(e.g., wrong part or not needed) When excess quantity was issued and needs to be
returned to inventoryImportant: Returns can ONLY be processed while the Job
Card status is Open
Navigation Path:
Electric Vehicle → Service → Workshop →
Issue Return
Process Flow:
Step 1: Open Issue Return and select the Spare Issue
document as the parent
Step 2: All issued part details (Part No., Name, QTY,
Cost) auto-populate from the Spare Issue
Step 3: Enter the Return QTY for each
part being returned to the spare department
Step 4: Save the document — returned
parts are added back to inventory automatically
ISSUE RETURN: KEY FIELDS & TIPS
Key Fields Explained:
Issue Document: Select
the Spare Issue document against which you want to make the return
Branch:
Auto-displays the branch name from the selected Spare Issue
Vehicle Card: Shows
Registration No., Chassis No., Engine No., and Model Name
Part No / Part Name:
Auto-populated from the Spare Issue — shows what was originally issued
UOM /
Location: Displays the unit of measurement and storage location of the part
QTY:
Shows the total quantity that was originally issued to the mechanic
Return QTY:
Enter the number of parts being returned (must not exceed issued QTY)
Cost /
Total Cost: Displays the cost of individual parts and total cost of returned
items
Tips for Beginners:Issue Return is blocked once the Job Card is closed or
billed — return parts promptlyReturn QTY cannot exceed the originally issued
quantityAlways verify physical parts match the return document before saving
