Vehicle Finance Master / Excellon DMS | Dealer Standard Operating Procedure
INTRODUCTION
What is a Financier in the System? A Financier is a bank, NBFC, or other lending institution registered in the Excellon DMS that funds vehicle purchases on behalf of customers. Each financier is created as a master record on the Financier Detail screen so it can be selected against a Sale Order to capture the source of vehicle finance.Why This Document is UsedThis SOP provides a step-by-step guide to register a financier in the system so it becomes available in the Vehicle Finance dropdown during Sale Order creation, ensuring accurate capture of the funding source for every financed vehicle sale.Importance in Sales OperationsWithout a properly configured financier master, sales executives cannot record the financier against a Sale Order, finance-linked deliveries cannot be tracked, and the dealership loses visibility into financier-wise sales and disbursement reporting.
NAVIGATION
Follow these steps to navigate to the Financier Detail screen:
Step 1: Log in to the Excellon DMS and open the Foundation module (or search "FINA" in Quick Launch).
Step 2: Navigate to: Global Network Administration>Management>FOUNDATION>Financier/Insurance /suppliers
Step 3: The Financier Detail screen will open, showing the list of existing financiers (if any).
Step 4: Click the “New” button at the top of the screen to begin creating a new financier.

CREATE NEW FINANCIER ENTRY
Step 1: Click “New”On the Financier Detail screen, locate and click the “New” button at the top of the page. This opens a blank Financier Creation form.
Step 2: Blank Form Appears A blank form will appear with all the required and optional fields needed to configure the new financier. The form includes tabs for Basic Information, Address Details, Customer Details, Personal Details, ECom Details, and Tax Details.
Step 3: Begin Filling Out the FormStart entering financier details section by section, as explained in the following slides. Mandatory fields are marked and must be completed before saving.
SWITCH TO FINANCIER DETAILS

Code (Mandatory)A unique identifier for the financier. This may be auto-generated or manually entered depending on system configuration. Example: FIN-001, FIN-002.First Name (Mandatory)Enter the financier’s name as registered. For institutional financiers such as banks or NBFCs, enter the registered legal name exactly as it appears on official records. Middle Name (Optional)Enter the middle name where applicable. Leave blank for institutional financiers .Last Name (Mandatory)Enter the surname for individual financiers, or the trailing portion of the institution name. Company (Optional)If the financier operates under a parent or holding company, enter that company name here.
Address Details
Address Line 1 – Enter the primary office or branch address of the financier.
Address Line 2 – Additional address information (building, landmark, or branch reference).
City – City where the financier's branch is located.State – State or province.
ZIP / Postal Code – Enter the PIN code or ZIP code.Area Name – Locality or area name for reference.
Customer Details
Mobile (Mandatory) – Enter a valid 10-digit mobile number for the financier's point of contact.
Phone – Alternate landline or branch contact number.
Driving Licence No. – Capture identification reference where the financier is an individual (leave blank for institutions).

SAVE FINANCIER
Step 1: Review All Entered InformationBefore saving, carefully review all the fields you have filled in. Ensure that the Code, Name, Mobile Number, Address, and Tax Details are correctly entered.
Step 2: Click “Save”Click the “Save” button located at the top or bottom of the form. The system will validate all mandatory fields before saving.
Step 3: System ValidationIf any mandatory field is missing or contains invalid data, the system will display an error message. Fix the highlighted fields and try saving again.
Step 4: ConfirmationOnce saved successfully, the financier record is created and stored in the system. The financier will now be available in the Vehicle Finance dropdown during Sale Order creation.
WHERE FINANCIER IS USED
Used in Sale Order – Vehicle Finance The Financier master serves a focused purpose in the DMS. Its primary use is to populate the Vehicle Finance dropdown on the Sale Order screen, where the bank or NBFC funding the customer’s vehicle purchase is selected. One Master, One Purpose Each financier is created once in the Financier Detail screen and then becomes available for selection during Sale Order entry. The same master record drives finance capture across every financed vehicle delivery. Practical
Example
1. A Financier record is created once for every bank or NBFC the dealership transacts with.
2. During Sale Order creation, the sales executive selects the relevant financier from the Vehicle Finance dropdown.
3. The selected financier is recorded against the Sale Order, capturing the funding source for that vehicle.
4. Reports can then be drawn financier-wise to track disbursement volumes and reconcile finance receipts.
BEST PRACTICES AND COMMON MISTAKES
Best Practices
1. Use proper naming conventions – Enter the financier's full registered legal name to avoid confusion.
2. Ensure correct contact details – Verify mobile and phone numbers before saving.
3. Capture tax details accurately – Add the correct Tax Code Type, Tax Code, and Effective From date so finance-linked invoices reflect the right tax treatment.
4. Avoid duplicate entries – Always search for an existing financier before creating a new master record.
5. Upload a logo or photo – Helps with quick identification of the financier in dropdowns and reports.
Common Mistakes to Avoid
1. Missing mandatory fields – Code, First Name, Last Name, and Mobile are required.
2. Incorrect mobile or phone – Double-check format and accuracy before saving.
3. Not clicking Save – Always save after entering data to avoid losing your work.
4. Skipping tax details – Without correct tax configuration, finance-linked invoices and reconciliation will not post accurately.
