Vehicle Allocation Process for Dealers
INTRODUCTION
What is EV Auto Allocation?
EV Auto Allocation is the process of automatically assigning vehicle chassis (frame) and engine numbers to customer bookings, removing manual selection from the dealer team.
Why It Matters
It ensures a fair allocation using the FIFO (First In First Out) method, so the customer who booked earliest gets the next available vehicle.
Benefit to Dealers
Allocation becomes faster, more transparent, and free from manual errors. Sales and planning teams gain a single, reliable source of truth.
KEY CONCEPT – FIFO
What FIFO Means
FIFO stands for First In, First Out. The customer who books a vehicle first gets a vehicle first — booking date and time drive the queue.
Real-Life Example
Think of a ticket counter. The person who joined the line first is served first. Customer A who booked on 1st May is served before Customer B who booked on 5th May.
Why FIFO Is Used
FIFO keeps allocation fair, builds customer trust, and prevents disputes about who should receive a vehicle first.

Follow these steps to open the EV Auto Allocation screen:

Step 3: The EV Auto Allocation screen opens with filters, ranking weightage, and the customer list.
Step 4: This is where dealers run allocation for pending customer bookings.
ALLOCATION OPTIONS
Default Allocation by Ranking
The system automatically allocates vehicles based on the ranking weightage. Highest-priority customers are picked first — no manual selection needed.
Percent Allocation
The dealer manually decides the allocation percentage across customer groups — useful when special quotas or campaign customers must be served.
When To Use Each
Use Default Allocation for routine, day-to-day allocation. Use Percent Allocation when management needs to override the ranking for specific business reasons.
Tip: Default Allocation is recommended for fairness. Use Percent Allocation only with proper approval.
CUSTOMER & VEHICLE DETAILS
Vehicle Details
Model – The vehicle model name (e.g., EV X1).
Color – The selected vehicle color.
Frame No – The unique vehicle chassis number.
Engine No – The unique engine number assigned at allocation.
Document Name – The booking document reference.
Document Date – The date the booking was created.
Booking Dates
Requested Date – The delivery date the customer asked for.
Promised Date – The delivery date the dealer committed to.
Status – Current allocation status of the customer booking.
POSTPONEMENT PROCESS
Step 1: Identify the Customer
When a customer wants to delay delivery, select the customer row in the EV Auto Allocation screen.
Step 2: Choose Postpone
Click the Postpone option and enter the number of days the customer wants to delay delivery.
Step 3: System Skips Temporarily
During the postponement period, the system skips this customer and allocates vehicles to the next eligible customer in the ranking.
Step 4: Automatic Resumption
After the postponement period ends, the customer rejoins the queue and is allocated a vehicle automatically based on ranking.
END-TO-END PROCESS FLOW
Step 1: Booking Created
A customer booking is created in the DMS with the requested vehicle model, color, requested date, and promised date.
Step 2: FIFO + Ranking Applied
The system arranges bookings in FIFO order, then applies ranking weightage — requested/promised dates expired, advance status, and finance status.
Step 3: Allocate, Postpone, Finalize
The system allocates a vehicle (frame and engine number). Postponements skip a customer temporarily, then auto-resume. Final allocation is confirmed.
